The independent rating for Owners Corporation knowledge, records and control

Know whether your building records are a risk or an asset.

The Yadigs™ Rating gives Owners Corporations a clear 1 to 5 Star view of how well their building knowledge is controlled, including governance records, contracts, compliance history, defects, building systems, maintenance records and operational handover information.

It is designed for committees who need confidence, continuity and control.

Yadigs™ comes from Australian slang for where you live: “ya digs”. The rating asks whether the records behind that place are complete, current and under committee control.

A practical first assessment of whether your OC records are complete, current and committee-controlled.

The problem

Poor records quietly increase risk, cost and committee dependency.

Building records are not just paperwork. They are the working memory of an Owners Corporation. When they are missing, scattered or controlled by the wrong party, committees lose leverage, buildings lose continuity and safety obligations become harder to prove.

100% lacked a complete set of maintenance documents
34% showed misalignment between Occupancy Permit records and site conditions
18% could not produce their AESMR on request

Source note: figures quoted from the Victorian Government Essential Safety Measures Survey. They are used here to illustrate records-risk patterns found in surveyed apartment buildings, not as a claim that every building has the same risk profile.

Who this is for

Built for committees who need facts before they spend more money.

Yadigs™ is most useful where the committee suspects the building records are incomplete, trapped in someone else’s system, or not strong enough to support decisions about safety, maintenance, contracts and defects.

OC committees and chairs

For committees who want to know whether records are complete, current and genuinely under OC control.

Buildings changing manager

For OCs that need to test whether building knowledge will survive a manager, caretaker or committee change.

Buildings with compliance uncertainty

For buildings where ESM, occupancy, fire, maintenance or contractor records are hard to produce on request.

Defects and major works buildings

For committees dealing with defect claims, remediation, warranties, project records or lifecycle risk.

What the rating examines

Six practical areas. Each one tests whether the committee is in control of its own building.

The rating does not reward pretty folders. It measures whether an Owners Corporation can find, understand, rely on and control the information needed to govern its building.

Governance records

Are the legal, meeting and committee records complete, accessible and held under OC authority - not locked inside a manager’s system?

Contracts and procurement

Does the committee know what it has signed, what it is paying for, when agreements expire and who holds the originals?

Compliance and safety history

Can the OC produce its Essential Safety Measures records, occupancy documents and inspection history on request?

Building systems knowledge

Are plant, equipment, warranties, service records and access information documented in a way the committee can actually use?

Defects and lifecycle history

Are defect claims, remediation work, project records and long-term lifecycle risks traceable across ownership and committee changes?

Continuity and handover

If the manager changed tomorrow, could the committee keep running? Is building knowledge held by the OC, or held by whoever is currently paid to manage it?

The rating framework

Five clear levels. One practical path to control.

The Yadigs™ Rating helps committees see where they are now, what is missing and what needs to happen next to create a mature building knowledge environment.

★☆☆☆☆

High risk

1 Star - Document Dump

Records exist, but are scattered, duplicated, poorly named or not properly committee-controlled.

★★☆☆☆

Basic

2 Stars - Basic Records

Core OC records exist, but building systems, contracts, compliance history and project records are incomplete or hard to trace.

★★★☆☆

Committee Ready

3 Stars - Committee Ready

Structured folders, legal and governance records, contracts, meeting records and basic compliance records are under committee control.

★★★★☆

Operationally controlled

4 Stars - Operationally Controlled

Building systems folders, provider records, registers, project history, defect records and clear document-control rules are in place.

★★★★★

Lifecycle Ready

5 Stars - Lifecycle Ready

A mature building knowledge system with live registers, lifecycle visibility, incident tracking, handover protocols and annual review.

Methodology and limits

Strong enough to be useful. Clear enough not to overclaim.

The Yadigs™ Rating assesses records, evidence, access, control and governance readiness. It does not confirm that a building is compliant, defect-free or safe in every respect.

How scoring works

Each record is scored by evidence quality and control level: not sighted, incomplete, sighted but not OC-controlled, OC-controlled, or current and verified.

What it does not replace

The rating does not replace advice from lawyers, building surveyors, fire engineers, ESM specialists, insurers or other qualified specialists.

When to renew

Renew annually, or earlier after a manager change, major works, defect remediation, insurance claim or significant compliance event.

How it works

From scattered records to committee control.

  1. ReviewWe inspect the current records environment, folder structure, access rights and known gaps.
  2. RateWe apply the Yadigs™ framework and identify the current star level.
  3. ResetWhere needed, we rebuild the records environment into a usable committee-ready structure.
  4. ControlRegisters, naming rules, handover protocols and renewal logic are put in place.
  5. RenewAn annual review confirms whether the rating remains current and reliable.

What you receive

A rating is only useful if it tells the committee what to do next.

The first commercial step is a Records Health Check. It gives the OC a practical evidence base, not a vague opinion.

Star rating and score summary

A 1 to 5 Star outcome with scoring across governance records, contracts, compliance, systems knowledge, defects and handover.

Priority gaps

A plain-English list of the records, registers or control failures that most affect safety, continuity, procurement and governance.

Evidence notes

Clear notes on what was sighted, where it was held, who controls it and whether the OC can access it independently.

Improvement pathway

A practical pathway towards Records Reset, Building Knowledge System or Governance + Lifecycle System where required.

Folder and register direction

Recommended folder structure, register templates and document-control rules to move records back under committee authority.

Limitations note

A clear statement that the rating is not a statutory compliance sign-off, legal opinion, fire engineering review or insurance advice.

Services and pricing

Start with a records health check. Build towards lifecycle readiness.

Each engagement is scoped to the building. Smaller OCs may need a basic reset. Larger or higher-risk buildings may require a full governance and lifecycle system.

Why the Anytime FM Group

A practical group model, not a one-person records tidy-up.

Yadigs™ is one of the products offered by the Anytime FM Group, a professional association of independent specialists in the built environment

Participating specialists are members of the Facilities Management Association of Australia, bringing substantial practical experience to building records, governance, safety, maintenance and lifecycle questions.

The Yadigs™ Rating is designed to combine governance discipline with practical built-environment knowledge, so committees can understand whether their building records genuinely support safety, continuity, procurement, maintenance and long-term asset stewardship.

Records held by a strata manager are not the same as records controlled by the committee. The Yadigs™ Rating is independent of any manager, caretaker or contractor - because the conflict of interest is the point.
✓ One product within the Anytime FM Group professional association
✓ Asset management, RICS, building surveying, ESM and fire safety documentation capability
✓ More than 100 years of collective built-environment experience
✓ Practical records, governance, maintenance and lifecycle focus
✓ Designed for OC committees, building managers and professional advisers

The group model

Governance clarity backed by technical depth.

Yadigs™ is not intended to replace existing managers, contractors or consultants. It gives the Owners Corporation a clearer view of what knowledge exists, what is missing, who controls it and what needs to be brought under committee authority.

Technical and lifecycle verification

Maintenance plans, asset registers, building systems knowledge, compliance traceability, defects history and lifecycle risk visibility.

Specialist network

Access to contractor and expert input where the rating identifies deeper questions in fire, hydraulic, mechanical, electrical, façade, waterproofing or operational systems.
